Purchasing Terms

1. Tour Price and Inclusions
- The tour price includes all prepaid travel services as listed in the itinerary and vouchers provided to the purchaser, such as roundtrip airport transfers, accommodations, specified meals, and activities detailed in the itinerary.
- Prices are subject to change until full payment is received, due to fluctuations in markets, exchange rates, or other changes beyond the control of Alpha & Omega Encounters (Pty) Ltd.
- The prices do not include passport or visa fees, inoculations, personal expenses, incidental tours, insurance, excess baggage charges, beverages, or international departure taxes unless explicitly stated.
2. Booking and Payment
- A booking is confirmed upon receipt of the required deposit of 50% (fifty percent) of the tour price or full payment.
- Payment methods may include bank transfer or other means as agreed.
- The deposit or application fee may be forfeited in case of cancellation by the purchaser.
- Full payment must be made prior to the tour start date, or as otherwise specified in the tour contract.
3. Cancellation and Refunds
- Cancellation by the purchaser must be made in writing.
- Cancellation charges apply and may include fees levied by service providers (e.g., airlines) plus additional charges by Alpha & Omega Encounters (Pty) Ltd and its partners.
- Failure to appear after the departure time without prior notice will result in a cancellation charge equal to 100% of the tour price.
- Refunds, if any, will be processed according to the cancellation policy and after deducting applicable charges.
4. Changes and Modifications
- Alpha & Omega Encounters (Pty) Ltd reserves the right to make changes to the itinerary, accommodations, or services due to unforeseen circumstances such as weather, strikes, or other events beyond their control.
- Any significant changes will be communicated to the purchaser as soon as possible.
- The purchaser may request modifications, subject to availability and possible additional charges.
5. Responsibilities and Liability
- Alpha & Omega Encounters (Pty) Ltd acts as an agent for the various service providers (hotels, transport companies, tour guides) and is not liable for their acts or omissions.
- Alpha & Omega Encounters (Pty) Ltd is not responsible for personal injury, loss, or damage to personal property during the tour unless caused by their negligence.
- It is the purchaser’s responsibility to obtain necessary travel documents, visas, and insurance.
6. Travel Documents and Insurance
- The purchaser must ensure they have valid passports, visas, and any required vaccinations.
- Travel insurance covering cancellation, medical emergencies, and baggage loss is strongly recommended.
7. Governing Law and Dispute Resolution
- These terms are governed by the laws of the Republic of South Africa.
- Any disputes arising from the contract shall be resolved through negotiation or mediation before pursuing legal action.
8. Miscellaneous
- The purchaser agrees to comply with all local laws and regulations during the tour.
- The tour operator reserves the right to refuse service or terminate the tour contract if the purchaser’s behavior endangers others or breaches terms.
